Job Description
Key Responsibilities
1. Office Management
-
Oversee the general upkeep of the office, ensuring it is clean, organized, and well-stocked with supplies.

Manage office supplies and inventory—order stationery, equipment, and pantry items as required.

Coordinate with facility management and vendors for repairs, maintenance, or service needs.

Ensure office equipment (printers, copiers, phones, etc.) is functioning and report issues promptly.
2. Administrative Support
-
Perform general administrative duties including filing, photocopying, scanning, and managing office documents.

Maintain records and files in a well-organized, secure, and accessible manner—both digitally and physically.

Handle incoming calls, emails, and correspondence, and direct them to the appropriate departments.

Schedule and coordinate meetings, appointments, and conference calls; book meeting rooms and prepare necessary materials.
3. Communication and Coordination
-
Serve as a liaison between internal departments and external contacts (vendors, clients, government agencies).

Communicate effectively with employees, clients, and management to ensure seamless office operations.

Disseminate important internal communications, such as memos, notices, and policy updates.

Assist in organizing internal events, staff meetings, or celebrations.
4. Data Entry and Record-Keeping

Maintain accurate databases, records, and spreadsheets related to employee attendance, office assets, and other administrative data.

Enter and update data in company systems as required.

Generate periodic reports for management review, including inventory reports, administrative logs, or project support documents.
5. Support to Other Departments
-
Provide administrative support to HR, Finance, or Sales departments as needed (e.g., filing employee records, preparing invoices, or assisting in client communications).

Assist in onboarding new employees by preparing desks, materials, and orientation kits.

Coordinate travel bookings, accommodations, and reimbursements for team members as per company policy.
6. Compliance and Documentation

Ensure that all administrative procedures follow company policies and legal regulations.

Assist in preparing reports and documentation for audits, inspections, or legal purposes.

Keep confidential documents and sensitive information secure and private.
