Office time: 10 AM to 6 PM

Key Responsibilities:

  1. Office Management and Administration:

    • Oversee daily office operations to ensure everything runs smoothly, including managing office supplies, equipment, and maintaining office cleanliness.

    • Ensure that office facilities are well-maintained and that any maintenance or repairs are addressed promptly.

    • Organize office workflows, including filing systems, record-keeping, and ensuring that documents are properly stored for easy retrieval.

  2. Correspondence and Communication:

    • Act as a liaison between departments, management, clients, and external stakeholders, facilitating clear and timely communication.

    • Draft, proofread, and send official communications, such as emails, memos, letters, and reports.

    • Manage incoming and outgoing mail and packages, and ensure the efficient distribution of information to relevant parties.

  3. Scheduling and Coordination:

    • Schedule appointments, meetings, and events for the organization’s management or other departments.

    • Coordinate travel arrangements, including booking transportation and accommodation for staff or executives when necessary.

    • Organize and prepare materials for meetings, including agendas, presentations, and reports, ensuring that all participants are prepared and informed.

  4. Human Resource Support:

    • Assist with recruitment processes, including scheduling interviews, preparing job descriptions, and maintaining employee records.

    • Support the HR team with employee onboarding, including preparing orientation materials, handling documentation, and setting up workspaces.

    • Maintain employee attendance records, process leave requests, and assist in payroll preparation by compiling attendance data.

  5. Financial and Budgetary Assistance:

    • Assist with basic budget tracking, financial reporting, and maintaining records of office expenses and purchases.

    • Handle invoicing, prepare purchase orders, and ensure payments are made in a timely manner.

    • Support the finance team by maintaining accurate records of office-related financial transactions.

  6. Record Keeping and Reporting:

    • Ensure proper documentation and filing of records, contracts, and other important documents, both in digital and physical formats.

    • Maintain inventory and records of office supplies and materials.

    • Generate reports on office activities, employee performance, and other metrics as required by management.

  7. Problem-Solving and Troubleshooting:

    • Address any administrative issues that may arise, such as delays in operations, miscommunications, or logistical challenges.

    • Act as the first point of contact for staff or external parties needing assistance with administrative processes.

    • Work collaboratively with other departments to resolve issues and ensure smooth operations.

  8. Compliance and Policy Adherence:

    • Ensure that the organization complies with internal policies and external regulations regarding record-keeping, employee rights, and workplace safety.

    • Assist with audits by providing necessary documentation and ensuring compliance with administrative protocols.

    • Maintain confidentiality of sensitive information, such as employee records and financial data.

  9. Technology and Systems Management:

    • Use office software and other tools to manage and store documents, track schedules, and communicate with teams.

    • Update databases and manage records using management software, ensuring data accuracy and security.

    • Assist in the implementation of new office technologies or systems to improve efficiency.
