Job Description
We are looking for a sharp administrator to provide leadership support and keep the office running smoothly and efficiently. In this role, you will be required to oversee administrative and clerical activities; greet and direct office visitors; collect, organize, and retrieve information and documents; and make arrangements for meetings and travel.
To be a successful administrator, you should be committed to facilitating smooth, efficient office operations by planning carefully, anticipating needs, and providing responsive, reliable assistance. You should be adaptable, proactive, supportive, and detail-oriented.
Key Responsibilities
General Administration & Operations
- Oversee daily administrative activities to ensure smooth operations.
- Implement and enforce institutional policies and regulations.
- Manage admissions, student records, and staff schedules.
- Supervise support staff, clerical workers, and other administrative personnel.
- Handle correspondence, official documentation, and reports.
Student & Faculty Support
- Assist in the admission and enrollment process, maintaining student records.
- Act as a liaison between students, parents, teachers, and management.
- Support faculty with class schedules, resources, and academic coordination.
- Address student concerns, grievances, and disciplinary issues.
Financial & Budget Management
- Assist in budget planning and expense tracking.
- Monitor procurement of supplies, equipment, and services.
- Coordinate with the accounts department for fee collection and payroll management.
HR & Staff Coordination
- Maintain employee records, attendance, and leave management.
- Assist in recruitment, onboarding, and training of new staff.
- Ensure compliance with HR policies, payroll, and performance evaluations.
Facility & Resource Management
- Ensure proper maintenance of school infrastructure, classrooms, and facilities.
- Oversee the management of IT systems, security, and transportation.
- Ensure availability of teaching materials, stationery, and office supplies.
Compliance & Regulatory Requirements
- Ensure adherence to government education policies and institutional guidelines.
- Maintain records for inspections, accreditations, and audits.
- Handle legal and safety compliance, including fire, health, and security protocols.
