Job Description
Job Summary:
We are looking for an organized, detail-oriented Back Office Executive to support the day-to-day operations of our company. As a Back Office Executive, you will be responsible for handling various administrative and support tasks that are essential to ensuring the smooth running of the business. You will work closely with other departments to streamline processes, maintain records, and assist with reporting, customer support, and data management.
The ideal candidate will have excellent organizational skills, a strong attention to detail, and the ability to handle multiple tasks simultaneously. This is a key role in ensuring operational efficiency and customer satisfaction.
Key Responsibilities:

Administrative Support:

Provide administrative support to various departments, including managing calendars, scheduling meetings, and organizing documentation.

Handle incoming and outgoing correspondence (emails, letters, etc.).

Maintain and update records and databases, ensuring they are accurate and accessible.

Assist in preparing reports, presentations, and other documentation for management and team meetings.

Data Entry and Management:

Input and update data into the company’s system and databases, ensuring accuracy and efficiency.

Organize and maintain files, both electronic and paper, in a well-structured manner.

Review and verify data for discrepancies and take corrective action where necessary.

Customer Support and Coordination:

Assist in handling customer queries or issues by providing administrative support to the customer service team.

Coordinate with customers, vendors, or internal teams to resolve any issues or ensure smooth operations.

Ensure customer information is updated and accurate in the company’s CRM system.

Document Preparation:

Assist in preparing documents, contracts, and invoices as required by different departments.

Ensure that all documentation is properly filed and archived for future reference.

Draft, format, and proofread documents before they are sent out or filed.

Inventory and Supply Management:

Keep track of office supplies and reorder materials when stock levels are low.

Maintain records of inventory and assist with inventory audits as required.

Ensure that office equipment is maintained and in good working condition.

Report Generation and Analysis:

Assist in generating monthly, quarterly, or annual reports as required by management.

Analyze data and provide insights to help management make informed decisions.

Prepare reports on operational activities, sales performance, or customer service metrics.

Compliance and Record Keeping:

Ensure compliance with company policies and procedures regarding record-keeping and documentation.

Maintain confidentiality and ensure sensitive information is handled appropriately.

Assist in auditing and reviewing records to ensure compliance with internal standards.
