Back Office Executive
Job Description
Key Responsibilities:
1. Data Management:
-
Handle and maintain accurate data entries in internal systems (CRM, ERP, etc.).

Prepare, update, and manage databases to ensure up-to-date records.
-
Ensure the accuracy of data by verifying and correcting discrepancies when needed.
-
Generate and maintain reports for management and other departments.
2. Document Preparation and Management:
-
Prepare, organize, and file documents, contracts, and records in both physical and digital formats.
-
Ensure that all required documentation is accurate, complete, and compliant with company standards and regulations.

Assist with the processing of invoices, purchase orders, and other business-related paperwork.
3. Administrative Support:
-
Provide administrative assistance to senior management and department heads.
-
Handle correspondence and communication, including emails, letters, and memos.

Manage calendars, schedules, and appointments as needed.

Organize and coordinate meetings, events, and travel arrangements for the team or management.
4. Report Generation:
-
Prepare and generate routine and ad-hoc reports, such as sales reports, inventory reports, and financial summaries.

Analyze data and provide insights or recommendations to assist in decision-making processes.

Ensure that reports are accurate, timely, and presented clearly.
5. Inventory & Supply Management:
-
Monitor office supplies and ensure stock levels are maintained.

Place orders for office supplies, equipment, and materials as needed.

Ensure that inventory records are updated and properly tracked.
6. Internal Communication:
-
Communicate effectively with different departments, ensuring smooth coordination between front and back-office operations.

Relay information and updates from other departments to relevant back-office staff.

Address and resolve issues related to internal processes or procedures promptly.
7. Support to Front Office Operations:
-
Assist the customer service team by providing necessary documentation or data to resolve customer issues.

Handle follow-up tasks related to customer orders, deliveries, or inquiries.

Ensure that customer-facing departments have the information they need to serve clients effectively.
8. Process Improvement:
-
Identify inefficiencies in back-office operations and suggest process improvements.

Implement new systems or tools to enhance operational efficiency.
-
Work with other departments to streamline workflows and reduce operational costs.
