Job Title: Executive Assistant to the Founders Office

Location: Chembur, West, Mumbai

Department: Administration

Reports to: Founder/CEO

Job Type: Full Time

Job Summary: AXS Solutions seeks a highly organized and dynamic Executive Assistant to the Founders Office. The ideal candidate will be adept at managing administrative tasks, including scheduling meetings, coordinating with customers, assisting with the recruitment process, and handling day-to-day operational tasks. This role requires excellent communication skills, a high degree of professionalism, and the ability to work effectively under pressure.

Key Responsibilities:

  • Meeting Coordination: Schedule, organize, and facilitate meetings and conferences for the Founder and other senior executives, ensuring all logistical aspects are managed efficiently.

  • Communication Management: Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Founder’s Office, including coordination with customers, partners, and other external parties.

  • Recruitment Assistance: Assist the HR department in the recruitment process, including scheduling interviews, communicating with candidates, and preparing meeting rooms.

  • Document Preparation: Prepare, review, and edit reports, presentations, and other documents as required by the Founder or other senior team members.

  • Task Management: Monitor, screen, respond to, and distribute incoming communications to the Founder’s office. Manage an active calendar of appointments, travel arrangements, expense reports, and other related tasks.

  • Project Coordination: Assist in managing and following up on important projects and deadlines. Provide support and coordination in strategic initiatives being driven by the senior management team.

  • Confidentiality: Handle confidential information with integrity and discretion.

Qualifications:

  • Bachelor’s degree in Business Administration or a related field.

  • Minimum of 3 years' experience in an executive support role, preferably within a fast-paced, tech-focused environment.

  • Proven ability to handle confidential information with discretion and demonstrate the highest level of customer/client service and response.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Expert level written and verbal communication skills.

  • Demonstrated proactive approach to problem-solving with strong decision-making capability.

  • Highly resourceful team player, with the ability to also be extremely effective independently.

  • Proficiency in Microsoft Office (Outlook, Word, Excel, and
