Job Title: Executive Assistant to the Managing Director (MD)
Location: Trivandrum, Kerala
Experience: Freshers or anyone with max 2 years experience in being an EA or PA
Position Overview:
Doctor Rekha Ayurveda is looking for a highly organized, young, energetic and efficient Executive Assistant to provide comprehensive administrative support to our Managing Director. The ideal candidate will be responsible for managing MD's daily schedule, coordinating meetings, booking travel arrangements, and handling various miscellaneous tasks. This role requires a proactive, detail-oriented individual who thrives in a fast-paced environment and is able to manage multiple tasks efficiently.
Key Responsibilities:
Calendar & Schedule Management:
- Manage and organize MD’s calendar, ensuring timely scheduling of meetings, appointments, and events.
- Prioritize and reschedule appointments as needed, ensuring no conflicts and timely reminders.
Travel Coordination:
- Book domestic and international flights, hotel accommodations, and ground transportation for MD.
- Prepare detailed itineraries and ensure all travel arrangements align with MD’s preferences and requirements.
Meeting Coordination:
- Schedule, coordinate, and prepare agendas for meetings, ensuring MD is fully prepared for all engagements.
- Attend meetings when necessary, taking minutes and following up on action items.
Communication Management:
- Screen and prioritize calls, emails, and other correspondence, responding on behalf of MD as needed.
- Draft and proofread letters, emails, and other communications for MD.
Social Media Management:
- Assist in managing MD's professional social media pages (e.g., Instagram, Facebook, LinkedIn).
- Coordinate content posting, track engagement, and collaborate with the marketing team if required.
- Ensure consistent branding, timely updates, and audience interaction aligned with MD’s professional image.
Miscellaneous Tasks:
- Handle personal tasks for MD, as required, ensuring a balanced work-life environment.
- Perform administrative duties such as filing, document organization, and data entry.
- Assist with event planning, including conferences, seminars, and other special events.
Confidentiality & Discretion:
- Maintain a high level of confidentiality and discretion in handling sensitive information and communications.
Qualifications:
- Bachelor's degree or equivalent experience in administration, business, or related fields.
- Fresher or someone with proven experience (2+ years) as an Executive Assistant, Personal Assistant, or in a similar role, ideally supporting senior leadership.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, especially in English language.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently with minimal supervision.
- A proactive, adaptable, and solution-oriented approach.
Preferred Skills:
- Experience supporting senior leadership in the wellness or healthcare industry.
- Familiarity with travel booking platforms and tools.
- Excellent communication skills.
- Proficiency in English language.
- Ability to handle high-pressure situations with professionalism and grace.
