Job Description

Designation: Facility Coordinator / Executive

Department: Facility Management Group (FMG)

Experience: 1 to 3 Years

Responsibilities:

  • Oversee daily office operations and assist in implementing standard operating procedures.
  • Provide administrative support to designated facilities or centers, including tasks such as typing, data entry, updating spreadsheets, and assisting with the preparation and printing of agreements.
  • Greet and assist visitors or clients both in person and over the phone, handling inquiries or directing them as needed.
  • Source and manage contracts and service providers for services like catering, cleaning, parking, security, and technology (internet).
  • Ensure essential facilities are maintained in good condition and proactively address issues such as cleanliness, HVAC, lighting, plumbing, and internet connectivity.
  • Ensure compliance with relevant government regulations and organizational standards for facilities.
  • Anticipate future facility requirements and plan accordingly to meet upcoming needs.
  • Maintain records and documentation related to employees and departments.
  • Communicate and document action plans, irregularities, and ongoing requirements to ensure smooth team operations.
  • Manage incoming and outgoing mail efficiently.
  • Assist with office relocations, client onboarding, and address emergencies as they arise.
  • Oversee vendor management, petty cash handling, invoice updates, and follow-ups.
  • Provide support to the sales and central teams when required.
  • Maintain inventory for housekeeping supplies, office stationery, and pantry consumables.

Requirements and Skills:

  • Strong communication and interpersonal skills to interact with people at all levels within the organization.
  • Proficiency in MS Office applications, including Word, Excel, Access, and PowerPoint.
  • Ability to work collaboratively within a team environment.
  • Strong time management skills and the ability to prioritize tasks effectively.
  • Fluency in English is an advantage.
  • High ethical standards, reliability, and adaptability to workplace changes.

Shift Schedule:

  • Monday to Saturday

Ability to commute/relocate:

  • Coimbatore. Two wheeler with Licence is a MUST.
