Job Description

- Greet and welcome guests as soon as they arrive at the office 
- Direct visitors to the appropriate person and office 
- Answer, screen, and forward incoming phone calls 
- Ensure reception area is tidy and presentable, with all necessary stationery and material 
- Provide basic and accurate information in-person and via phone/email 
- Receive, sort, and distribute daily mail/deliveries 
- Maintain office security by following safety procedures and controlling access via the reception desk 
- Order front office supplies and keep inventory of stock 
- Update calendars and schedule meetings 
- Perform other clerical receptionist duties.

Key Responsibilities:

  1. Reception and Visitor Management:

    • Greet and welcome visitors, clients, and guests with a friendly and professional demeanor.

    • Direct visitors to the appropriate departments or individuals.

    • Ensure that visitor logs are maintained and that security protocols are followed when needed.

    • Answer and direct phone calls to the appropriate team members, ensuring accurate message-taking when necessary.

  2. Administrative Support:

    • Handle incoming and outgoing mail, packages, and deliveries.

    • Maintain the front desk area, ensuring it is organized and presentable at all times.

    • Assist with scheduling appointments, meetings, and conference room bookings for employees and management.

    • Support the HR or administration team with basic office tasks such as filing, organizing documents, and maintaining records.

  3. Office Management:

    • Ensure the office is stocked with necessary supplies, including stationery, office equipment, and refreshments.

    • Maintain a well-organized office environment by assisting with office organization and tidiness.

    • Assist in coordinating office maintenance, including reporting issues with equipment or facilities to the relevant departments.

    • Coordinate with vendors and service providers as needed for office services and maintenance.

  4. Communication and Coordination:

    • Maintain a professional and courteous relationship with clients, vendors, and visitors, both in-person and over the phone.

    • Handle general inquiries and provide information about the company, products, or services to clients and visitors.

    • Ensure effective communication between departments, relaying messages or assisting with scheduling and coordination.

  5. Data Entry and Record Keeping:

    • Enter and update company information and documentation into databases or systems as needed.

    • Maintain a filing system for office records, invoices, contracts, and other important documents.

    • Keep track of office supplies and maintain inventory records for procurement purposes.

  6. Support to Management and Employees:

    • Assist the management team with scheduling, coordinating events, and organizing meetings or conferences.

    • Help employees with various administrative tasks as needed, including preparing documents, photocopying, and printing.

    • Assist with employee onboarding, setting up workstations, and coordinating new hire documentation.

  7. Customer Service and Relationship Building:

    • Act as a liaison between clients and the company, offering excellent customer service and resolving basic issues or queries.

    • Maintain a positive and professional attitude when interacting with both internal and external clients.

    • Handle basic inquiries and follow up with clients to ensure satisfaction and positive relationships with the company.
