Job Overview: We are seeking a reliable and organized Office Assistant to help ensure the smooth operation of our office. Key Responsibilities:

General Administrative Support:

Answer and direct phone calls, emails, and other communications.

Greet visitors and clients, and direct them to appropriate personnel.

Prepare and distribute internal and external correspondence.

Maintain office supplies inventory and reorder when necessary.

Assist in scheduling and coordinating meetings, appointments, and travel arrangements.

Maintain and update office calendars, schedules, and event planning.

Document and File Management:

Organize and maintain office files, both physical and digital.

Assist with document preparation, including photocopying, scanning, and faxing as needed.

Ensure that office files are properly labeled, sorted, and archived.

Handle confidential documents and information with discretion.

Office Organization and Maintenance:

Ensure that the office is clean, organized, and presentable at all times.

Assist with the setup and coordination of office events, meetings, and conferences.

Monitor and maintain office equipment, ensuring it is in good working order.

Coordinate with maintenance or IT support for any repairs or issues related to office equipment.

Data Entry and Reporting:

Input and update data into various systems, spreadsheets, and databases.

Assist with preparing reports, presentations, and documents for meetings.

Ensure that data is accurate and up-to-date in company records.

Communication and Coordination:

Liaise with vendors, suppliers, and other external parties for office-related matters (e.g., office supplies, delivery coordination).
