Key Responsibilities:

Administrative Support:

Provide general administrative assistance to office staff, including filing, photocopying, and preparing documents.

Assist with scheduling and coordinating meetings, appointments, and travel arrangements.

Manage office correspondence, including answering phone calls, responding to emails, and directing inquiries to the appropriate personnel.

Assist in preparing reports, presentations, and other documents for management or other departments.

Office Organization and Maintenance:

Maintain and organize office supplies, ensuring that necessary items are stocked and available for staff use.

Order office supplies and coordinate with vendors as needed.

Ensure that the office environment is tidy and organized, including maintaining office equipment and facilities.

Handle filing and document management, ensuring proper storage and easy access to important records.

Customer and Visitor Interaction:

Greet visitors and clients, ensuring they are directed to the appropriate person or department.

Provide a positive first impression of the company by being professional, polite, and helpful in person, over the phone, and via email.

Assist in managing client or visitor schedules and provide support as necessary.

Data Entry and Record Keeping:

Maintain accurate records and databases, ensuring data is updated and organized.

Enter and update information in company systems (CRM, spreadsheets, etc.).

Assist with data collection and prepare reports for management or other departments.

Office Equipment and Technology Support:

Assist with the operation of office equipment (e.g., printers, copiers, fax machines, phones).

Report and troubleshoot any office equipment malfunctions, coordinating with technical support or vendors when necessary.

Support the office team with basic IT troubleshooting and setup for new equipment or workstations.

Mail and Document Handling:

Sort and distribute incoming mail and packages.

Prepare outgoing mail, including packaging, labeling, and organizing shipments.

Maintain confidential and sensitive documents, ensuring proper handling and storage.

Scheduling and Calendar Management:

Assist in scheduling meetings, booking conference rooms, and organizing logistics for internal and external events.

Coordinate office calendars, making sure that appointments are properly booked and attended to in a timely manner.

Prepare and distribute meeting agendas, notes, and other related materials.

General Office Tasks:

Assist with basic bookkeeping tasks, such as preparing invoices, handling petty cash, or managing office budgets.

Provide support for any ad hoc tasks or special projects as required by management or other departments.

Help facilitate internal communication and coordination between different departments.
