Job Description

We are seeking a detail-oriented and organized Office Librarian with a background in real estate to manage our office’s document organization, research needs, and property-related records. The ideal candidate will maintain a well-structured reference system, support staff with real estate research, and ensure compliance with industry regulations. Maintain a well-organized document and record management system. Catalog and archive legal documents, contracts, and real estate records.

Key Responsibilities:

  • Document Organization: Catalog and maintain property documents, agreements, title deeds, NOCs, legal files, blueprints, brochures, project plans, and other real estate records.

  • Digital Archiving: Scan, digitize, and organize physical documents into a searchable electronic library system using standard library or document management software.

  • Record Management: Implement filing systems (manual and digital) for easy retrieval and tracking of important documents, maintaining version control for updated files.

  • Access Control: Manage user access to sensitive records and ensure confidentiality, especially for legal or project-related documents.

  • Document Retrieval: Provide prompt assistance to internal departments (Legal, Sales, Engineering, etc.) in locating and retrieving specific documents or information.

  • Library Maintenance: Maintain a real estate reference library consisting of industry magazines, project reports, government guidelines, compliance manuals, and zoning codes.

  • Inventory & Reporting: Maintain logs of borrowed or referenced materials and provide monthly status reports to management on library/document usage and pending returns.

  • Compliance Support: Ensure all records are stored and maintained in accordance with regulatory standards, legal compliance, and audit requirements.

  • Collaboration: Coordinate with Legal, CRM, HR, Project, and Admin teams to gather, update, or dispose of documents as needed, ensuring no critical information is lost.
