Job Description
Key Responsibilities
Administrative Support

Manage the Director’s daily schedule, including meetings, appointments, and travel arrangements.

Organize and maintain files, records, and documentation with confidentiality.

Prepare and edit correspondence, reports, presentations, and other documents as required.
Calendar and Time Management
-
Act as the gatekeeper for the Director’s time, prioritizing and filtering appointments based on urgency and importance.

Ensure the Director is fully briefed and prepared for all meetings, calls, and events.

Coordinate meeting agendas, collect background materials, and take minutes when required.
Travel and Logistics

Arrange domestic and international travel, including flights, hotel bookings, visas, transport, and itineraries.

Ensure seamless end-to-end travel planning and address last-minute changes promptly.

Track travel expenses and maintain records for reimbursement or reporting purposes.
Communication and Liaison

Serve as a key point of contact between the Director and internal departments, clients, vendors, and external stakeholders.

Draft and respond to emails, memos, and official communications on the Director’s behalf.

Handle incoming calls and messages, ensuring important information is communicated in a timely manner.
Confidentiality and Discretion

Handle sensitive information with absolute discretion and professionalism.

Maintain confidentiality regarding business strategies, contracts, finances, and personnel matters.

Uphold the company’s standards and protect the Director’s reputation and privacy at all times.
Meeting and Event Coordination

Schedule and organize board meetings, leadership reviews, executive offsites, and business events.

Prepare agendas, circulate materials in advance, and follow up on action items post-meeting.

Coordinate with vendors, catering, and venues when planning formal events or conferences.
Project and Task Management

Assist with tracking key initiatives, deadlines, and follow-ups on behalf of the Director.

Support in the execution of short-term projects and provide assistance with presentations or research as required.

Coordinate cross-functional projects by liaising with internal departments to ensure tasks are completed on time.
Document Management

Maintain both physical and electronic filing systems for easy retrieval of business documents and personal records.

Keep track of contracts, NDAs, and confidential agreements in coordination with legal or HR departments.

Ensure accurate version control of all strategic documents and updates.
