Key Responsibilities

1. Project Planning and Coordination

  • Assist the Project Manager in the development and maintenance of project plans, including schedules, milestones, and resource allocation.

  • Help create and update project timelines, ensuring that tasks are completed on schedule and within the assigned deadlines.

  • Coordinate meetings with stakeholders, clients, and team members, ensuring that necessary resources are available and that all participants are informed and prepared.

  • Track project deliverables and ensure that all tasks are completed as per the project’s requirements.

2. Communication and Stakeholder Management

  • Act as the central point of contact for project-related communication, ensuring that information flows smoothly between clients, vendors, and internal teams.

  • Communicate project progress to stakeholders, providing updates on timelines, deliverables, and potential risks or issues.

  • Ensure that clients are kept informed about project status, changes, and other relevant developments.

  • Document meeting notes, track action items, and follow up to ensure tasks are completed according to agreed timelines.

3. Resource Coordination

  • Coordinate with team members, vendors, and contractors to ensure that resources are available when needed and used efficiently.

  • Assist in the procurement of materials, tools, and services required for project tasks.

  • Ensure that all necessary documents, contracts, and resources are prepared in advance for meetings or project work.

4. Documentation and Reporting

  • Maintain accurate project documentation, including contracts, scope statements, and schedules.

  • Prepare and distribute regular project reports that outline project progress, budgets, and any issues that may arise.

  • Ensure that project documentation is properly filed and accessible to all stakeholders.

  • Maintain detailed records of project meetings, including meeting minutes, action items, and decisions made.

5. Budget and Cost Control

  • Assist the Project Manager in monitoring project budgets, tracking expenses, and ensuring that the project remains within financial constraints.

  • Help identify cost-saving opportunities and areas of improvement related to project expenditures.

  • Prepare and review financial documentation, including invoices, purchase orders, and payment approvals.

6. Risk Management and Problem Resolution

  • Monitor project risks and assist in identifying potential problems that could affect project timelines or quality.

  • Help resolve issues that may arise during the project lifecycle by coordinating resources, managing delays, or addressing client concerns.

  • Work with the project team to develop and implement mitigation strategies to address risks and keep the project on track.

7. Quality Assurance

  • Ensure that all project deliverables meet quality standards and the expectations of stakeholders.

  • Help track project milestones and ensure that all phases of the project are completed to specification.

  • Coordinate project reviews and inspections to ensure compliance with quality standards and company policies.
