Vendor Management:

Identify, evaluate, and maintain relationships with suppliers and vendors.

Negotiate prices, payment terms, and delivery schedules to ensure the best deals.

Obtain quotes and compare prices from different suppliers to ensure cost-effective purchasing decisions.

Procurement:

Procure goods and services required by different departments, ensuring that orders are placed in a timely manner and within budget.

Monitor inventory levels to ensure that adequate stock is available for operations and prevent stockouts.

Review and process purchase orders, ensuring accuracy and compliance with company policies.

Order Management:

Track purchase orders, ensuring timely delivery and addressing any delays or discrepancies with suppliers.

Verify the quality and quantity of goods received and match them with purchase orders.

Maintain a record of all procurement activities and update inventory accordingly.

Purchase Documentation:

Maintain accurate and up-to-date records of purchases, including invoices, receipts, and order confirmations.

Prepare and manage purchase reports for management review.

Accounts Functions:

Accounts Payable:

Review and verify invoices for accuracy and match them with purchase orders.

Ensure timely payment to vendors and suppliers, keeping track of payment deadlines.

Process payments for purchases, utilities, and other business expenses, maintaining accurate records of all transactions.

Accounts Receivable:

Assist in processing customer payments and maintaining accurate accounts receivable records.

Issue invoices to customers, ensuring they are accurate and timely.

Follow up on overdue payments and liaise with customers to resolve payment issues.

Bank Reconciliation:

Reconcile daily cash and bank transactions with accounting records.

Monitor the cash flow and assist in financial forecasting.

Assist in preparing monthly, quarterly, and yearly financial statements for internal and external audits.

General Bookkeeping:

Maintain accurate financial records, ensuring all transactions are recorded in compliance with accounting principles.

Help with filing taxes and ensuring that financial records are in order for audits.

Prepare financial reports, including profit and loss statements, balance sheets, and other reports as needed by management.

Expense Tracking:

Track company expenses and prepare regular reports on spending trends and budget status.
