Job Description
Key Responsibilities:

Guest Reception and Hospitality:

Greet visitors with a warm and friendly attitude as they arrive.

Offer assistance, guide them to the correct person or department, and ensure they feel welcomed.

Maintain a clean and organized reception area.

Phone and Communication Handling:

Answer incoming calls promptly and professionally.

Transfer calls to appropriate departments or staff.

Take and deliver accurate messages when required.

Handle queries and provide basic information to callers or walk-in guests.

Appointment Scheduling and Coordination:

Maintain and manage meeting schedules, calendars, and appointments for staff or management.

Inform employees about guest arrivals or scheduled meetings.

Book meeting rooms and ensure they are set up as needed.

Administrative and Clerical Support:

Receive and distribute incoming mail, courier packages, and documents.

Maintain records of incoming/outgoing couriers and deliveries.

Assist with basic clerical tasks such as photocopying, printing, and filing.

Maintain visitor logs, attendance sheets, or front office registers.

Office Coordination:

Liaise with internal departments like HR, Admin, and Security as needed.

Report maintenance issues or coordinate with facility staff for repairs (e.g., AC, furniture, IT equipment).

Monitor and manage office supplies related to front desk operations.
