Job Description

·         Greet and welcome visitors with a professional and friendly attitude

·         Handle incoming calls and direct them appropriately

·         Maintain the reception area and ensure it is tidy and presentable

·         Manage incoming and outgoing correspondence

·         Provide administrative and clerical support to the team

Key Responsibilities:

1. Front Desk Management:

  • Greet and welcome visitors, guests, clients, and vendors in a friendly and professional manner.

  • Maintain a clean, organized, and presentable reception area at all times.

  • Ensure proper visitor management including sign-in procedures and visitor badges.

2. Phone and Communication Handling:

  • Answer, screen, and forward incoming phone calls promptly and professionally.

  • Take accurate messages and route them to the appropriate person or department.

  • Handle email and written correspondence as required.

3. Appointment and Meeting Coordination:

  • Manage meeting room bookings and ensure availability of conference spaces when needed.

  • Schedule and confirm appointments for clients, management, or team members.

  • Notify relevant staff about visitor arrivals and coordinate internal communications.

4. Administrative Support:

  • Perform basic clerical duties such as photocopying, filing, scanning, and data entry.

  • Receive and sort daily mail, courier packages, and deliveries.

  • Assist HR or Admin with tasks such as attendance monitoring, ID card issuance, and event coordination.

5. Customer Service:

  • Respond to visitor and caller inquiries about the organization, services, or directions.

  • Provide information or support related to general office procedures and policies.

  • Handle complaints or direct them to the appropriate authority efficiently.
