Job Description
Key Responsibilities
Front Desk Operations

Greet and welcome guests and visitors in a professional and courteous manner.

Direct visitors to the appropriate person or department.

Maintain visitor logbooks, issue visitor badges, and ensure compliance with office security procedures.

Maintain the appearance of the front desk and reception area, ensuring it is clean and organized.
Telephone and Communication Management
-
Answer, screen, and forward incoming phone calls promptly and efficiently.

Provide basic and accurate information in person and via phone/email.

Take detailed messages and ensure timely delivery to relevant team members.

Monitor general inquiry email inbox and route emails to appropriate departments.
Administrative Support
-
Schedule appointments, meetings, and conference room bookings as requested.

Receive, sort, and distribute daily mail and courier deliveries.

Assist with outgoing mail, courier coordination, and office document dispatch.

Perform clerical duties such as photocopying, scanning, filing, and data entry.
Office Coordination
-
Assist with managing office supplies inventory and placing orders when required.

Coordinate with housekeeping or facilities teams to maintain office hygiene and comfort.

Support HR, Admin, or other departments in planning internal events, interviews, or meetings.

Maintain and update internal directories and contact lists.
Customer Service and Representation

Act as the initial representative of the company and ensure every interaction reflects a high standard of customer service.

Handle minor customer concerns or complaints at the reception level and escalate where necessary.

Build a rapport with clients and visitors to enhance their experience with the company.
